J² Intelligence — Privacy Policy

Effective Date: 5 August 2026

This Privacy Policy (“Policy”) describes how J² Intelligence (“J² Intelligence,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards Personal Data when you interact with our websites, dashboards, voice and chat interfaces, and any artificial-intelligence “employees” we deploy on your behalf (collectively, the “Services”). By using the Services, you agree to the practices described below. This Policy is incorporated by reference into our Terms & Conditions dated 5 August 2026 (“Terms”); capitalized terms not defined here have the meanings given in the Terms.

Note: We are presently a sole proprietorship based in Hampton, Virginia, USA, and anticipate converting to a Virginia limited-liability company (LLC) taxed as an S-Corporation. All rights and obligations under this Policy will transfer automatically to the successor entity.


1. Scope & Applicable Law

Because we market to, and process data about, Virginia residents, we have structured this Policy to satisfy the disclosure and consumer-rights requirements of the Virginia Consumer Data Protection Act (“VCDPA”) as well as relevant U.S. federal laws (e.g., CAN-SPAM, TCPA, COPPA).


2. The Information We Collect

We collect only the information necessary to configure, deploy, and operate AI Employees and to run our business:

  • Identifiers – name, postal address, email, telephone number, and IP address.

  • Business & Marketing Information – company name, industry, website URL, products/services offered, purchase history, and payment status.

  • Usage Data – chat or voice transcripts, lead-qualification responses, log files, device/browser type, referral URLs, and interaction timestamps.

  • Audio Data – voice recordings when you interact with our voice AI Employees (with notice at call start).

  • Sensitive Data – only if you expressly provide and consent (e.g., precise geolocation or biometric voiceprints).

We do not intentionally collect information from children under 13, and the Services are not directed to them.


3. How We Use Personal Data

  1. Configuration & Deployment – to script, train, and customize AI Employees to reflect your brand guidelines and objectives.

  2. Service Delivery – to route communications through third-party SMS, VoIP, CRM, or help-desk platforms you authorize.

  3. Customer Support – to respond to inquiries, troubleshoot, and improve performance.

  4. Business Operations – to invoice, collect payments, enforce the Terms, and maintain business records.

  5. Analytics & Development – to analyze aggregate usage patterns and enhance features.

  6. Marketing – to send service updates or promotional messages (you may opt out at any time).

  7. Legal Compliance & Protection – to comply with law-enforcement requests, court orders, or detect and prevent fraud, abuse, or security threats.


4. Legal Bases for Processing

Where required, we rely on (i) performance of a contract; (ii) our legitimate interests (e.g., service improvement, network security) that are not overridden by consumer rights; (iii) your consent (for marketing, cookies, or sensitive data); and (iv) compliance with legal obligations.


5. How We Share Personal Data

We do not sell Personal Data for monetary consideration. We may share it only:

  • With Service Providers (Processors) that host servers, route calls or messages, process payments, or provide analytics—under written agreements that require confidentiality and data-protection measures.

  • With Affiliates or Successors in a merger, acquisition, or corporate reorganization (your data will remain subject to this Policy).

  • With Law Enforcement or Regulators when we believe disclosure is legally required.

  • With Your Consent or at your written direction (e.g., integrating an additional third-party platform).


6. Your Privacy Rights (Virginia Residents)

You may, up to twice per 12-month period, submit the following requests regarding your Personal Data:

  1. Access / Confirmation – whether we process your data and a copy of it.

  2. Correction – to rectify inaccuracies.

  3. Deletion – to delete data you provided or we obtained about you.

  4. Portability – to receive your data in a portable, technically feasible format.

  5. Opt-Out – of (a) targeted advertising, (b) the sale of personal data, and (c) profiling that produces legal or similarly significant effects.

How to Exercise Rights

Email [email protected] or call +1 (757) XXX-XXXX with the subject line “VCDPA Request.” We will verify your identity and respond within 45 days (with one possible 45-day extension). If we deny your request, you may appeal by emailing [email protected]; unresolved appeals can be escalated to the Virginia Attorney General.


7. Cookies, Analytics & Targeted Advertising

We use cookies, pixels, and device identifiers to:

  • keep you logged in,

  • remember preferences,

  • measure site performance, and

  • serve interest-based ads through platforms such as Google Ads or Meta.

You can disable non-essential cookies via our cookie banner or through your browser settings. Industry-standard opt-out tools (e.g., the Digital Advertising Alliance) are also honored.


8. Data Security

We apply administrative, technical, and physical safeguards—including encryption in transit, least-privilege access controls, and routine monitoring—to protect Personal Data. No security measures are foolproof; you acknowledge this residual risk.


9. Data Retention

We retain Personal Data only as long as necessary to fulfill the purposes outlined in this Policy, meet contractual or legal obligations, or resolve disputes. Chat and voice transcripts are typically kept for 24 months unless you request a shorter or longer period in writing.


10. International Data Transfers

Our primary servers are in the United States. If we transfer data to another country, we will use legally recognized mechanisms (e.g., standard contractual clauses) to protect your information.


11. Third-Party Platforms

At your direction, AI Employees may connect with third-party services (e.g., CRM, SMS, VoIP). Your use of those platforms is governed solely by their respective terms and policies. We are not responsible for their privacy or security practices.


12. Changes to This Policy

We may revise this Policy by posting an updated version at least 30 days before the new effective date. Continued use of the Services after that date constitutes acceptance of the revised Policy.
